For Superintendents

RESPONSIBILITIES. Department Superintendents are the indispensable leaders of the Fair.

 

Junior, Intermediate or Senior 4-Hers are eligible to be appointed as a Superintendent by  the Fair Board. Superintendents work closely with an Adult Advisor to carry out these important responsibilities:

 

Superintendents attend all Fair Board meetings to help plan and operate the Fair.


Superintendents review their Department entry in the past year's catalog and may suggest changes to the Fair Board.


Superintendents recruit qualified judges before the Fair and assist them during judging.


Superintendents participate in Fair work day, usually the Thursday before the Fair, to clean and set up both their department and the area around their department.


For the 2010 Fair, the Fair Board approved soliciting corporate sponsorship of our fair departments as well as overall corporate sponsorships. Every superintendent is asked but not required to solicit this form of support along with ads and personal sponsorships. Club leaders and the 4-H office provide details to help make this sale, including a helpful flyer and sign-up form.


On the Friday before the Fair opens to the public,


- Superintendents are in their department to accept and register entries from 3 p.m. to 6:30 p.m.


- Superintendents compile a list of entries in each class of their department on Judging Sheets.


- Superintendents assist judges and record placing of entries.


- Superintendents complete the label on the back of each ribbon.


- Superintendents place ribbons and judge's comments securely on exhibits.


- Superintendents display all entries clearly and neatly.


- Superintendents post names of trophy winners and champions in their area, and turn in these names to the Parade of Champions Committee on Friday or Saturday of the Fair.


- Superintendents clean their area before leaving for the evening.


During the Fair,


- Superintendents keep their department tidy.


- Superintendents coordinate with other Superintendents in the exhibit building to safeguard exhibits.


- Superintendents turn in Record of Entries Forms to the Fair Advisor by 9 a.m. on Saturday of the Fair for all judging completed on Friday.


At the Close of the Fair,


- Superintendents are in their department when exhibitors come to claim their entries.


- Superintendents take down tables, chairs, decorations, etc.


- Superintendents clean up their area.


- Superintendents help with general clean up.


- Superintendents send thank-you letters to judges.



Whew! It is a big job! If you are a first-time Superintendent, don't hesitate to ask for help and advice from older 4-Hers, Fair Board officers, and your Adult Advisor. All want to help make this experience another big 4-H success for you!
